Reconcile Errors and Save Imported Schedule

Modified on Tue, 29 Oct at 6:42 AM

When importing a schedule, Linarc validates the file for any discrepancies, missing entries, or inconsistencies. If errors are detected, the system provides tools to help you quickly resolve and reconcile them before saving the schedule.

  • Identify Discrepancies: The system highlights any issues found within the imported file, such as missing data, invalid entries, or inconsistencies in task information.
  • Review & Reconcile Errors: Go through each highlighted discrepancy and make the necessary corrections. Linarc provides an intuitive interface for editing and resolving issues directly within the system.
  • Save the Corrected Schedule: Once all errors have been reconciled, you can validate and save the updated schedule.

By following this process, you ensure that your imported schedules are accurate, up-to-date, and ready for seamless project management.

Linarc evaluates each line item in the uploaded schedule and reports the following types of discrepancies:

  • Missing Planned Dates: Either the planned start or planned end date is missing.
  • Progress with Missing Actual Start Date: Progress is greater than 0%, but the actual start date is missing.
  • Completion without End Date: Progress is marked as 100%, but the actual end date is missing.
  • Missing Progress for Actual Start: The actual start date is present, but no progress has been recorded.
  • Missing Progress for Actual End: The actual end date is present, but progress is not marked.
  • Missing Contractor Assignment for Started Tasks: The actual start date is present, but no contractor is assigned.
  • Progress without Contractor Assignment: Progress is greater than 0%, but the assigned contractor is missing.
  • Incorrect Date Order: The planned end date is earlier than the planned start date.
  • Actual Date Order Issue: The actual end date is earlier than the actual start date.
  • Dates Falling on Non-Working Days: Planned or actual start/end dates fall on a weekly off day (e.g., weekend).
  • Dates Falling on Holidays: Planned or actual start/end dates fall on a holiday listed in the project calendar.
  • Milestone without Contractor Assignment: Milestone tasks are missing assigned contractors.

Once you import a schedule from your file, the cells with missing or discrepant values are highlighted in red.

The schedule grid defaults to the 'Exceptions' view if discrepancies are detected during validation.

  • Use the drop-down at the top to switch between the 'All' view and 'Exceptions' view:
    • All - Shows all items imported from the source file, with discrepancies highlighted in red
    • Exceptions - Shows only those items with missing or discrepant values
Note:
1. If a parent-level item in a WBS branch contains missing or discrepant values, or if both the parent and some of its child items have such issues, the parent item will appear as a collapsed row. Expand the parent to view and correct the highlighted errors across all affected rows.
2. If only certain child items under a parent contain missing or discrepant values, these will be displayed as individual rows, allowing you to directly correct the errors.

To correct the missing or discrepant values

  • Hover your mouse on the information icon inside a cell

A message appears with a description of the discrepancy. An example is shown below:

  • Click inside a highlighted cell and enter the correct value.

  • Repeat this process for any other highlighted cells.
Note on Assigned Contractors
The system extracts the contractor company name for each line item from the source file.
1. If the contractor is already listed in the project directory, the value is automatically accepted.
2. If the contractor name in the source file has a 90% or greater match with an existing contractor in the project directory, that contractor is auto-assigned.
3. If the name matches 70% or more with an existing contractor, the system flags the contractor as a "Recommended Contractor" and shows it as a suggestion In the tooltip message.
4. For matches below 70%, you'll need to manually select the correct contractor from the drop-down list.
  • Click 'Validate' to check the updated entries.

If the values are valid, the newly entered data will be saved. You can also correct discrepancies in batches: enter values for some items, validate, and then repeat the process until all issues are resolved.

  • Click 'Save' at the top once all items are corrected.

Your schedule is now added to the schedule. You can now make any further edits as required and publish it.
