Subcontractor - Create and Manage Contractor Schedule

The 'Contractor Schedule' interface shows the work awarded by the general contractor to a subcontractor as scheduled tasks (deliverables and work packages) at the top level. The subcontractor can break down the tasks to add the required sub-tasks and activities as children at successive hierarchy levels to create the contractor schedule. Each sub-task and activity is set with corresponding duration, start/end dates, and dependencies.    

The project manager of the subcontractor can then:

  • Link the subtasks with the respective line item in the project estimate
  • Publish the leaf-level tasks and push the field tasks to the foreman, who is in charge of the site
  • Receive progress updates from the foremen. They can also manually update the tasks' progress
  • Share the completion percentage of the parent-level tasks as aggregated from their children with the GC.
  • Journal expenses incurred under various cost types for each task for effective cost-tracking  
  • Update the schedule periodically depending on the course of the work.

Access the schedule

  • Ensure that yoy are in the project schedule. If not done already:
    • Click the app launcher icon  in the top-right and select 'Schedule'
    • Click 'Planner' on the top, then select 'Grid' on the left to open the schedule of the project

The schedule shows the deliverables and work packages assigned to you by the GC with their details in a customizable table. Click here for more details on the columns.

You can add new tasks and break down the assigned tasks as subtasks in a hierarchical structure in many ways:

  • Click 'Add New Row' at the bottom to add a top-level or root-level task 
  • Right-click on an item and choose 'Add' > 'Add Subtask' to add a new sub-task item, for example, the deliverables, activities, etc.
  • Right-click on an item and select 'Add' > 'Add from Estimate' to create a new child-level task by directly selecting the item from the project estimate  
  • Right-click on a line item and choose 'Insert Above' to add a new row
  • Right-click on a line and use the indent options to move an item to the required hierarchy level in the parent-child relationship.
    • Right Indent  - Move right to make the task as a child to the previous task.
    • Left Indent - Move left to move the task to one step higher in the hierarchy level
  • Select the item(s) and paste on the new rows using the options on the top. You can also use keyboard shortcuts to select, copy, and paste items. 
  • Repeat the process to add task items of successive levels. 
  • You can link the lowest level items, for example, the lowest level tasks and activities, with the respective line item in the project estimate. 

When adding/linking from estimates, the task code and the required effort hours are auto-populated. You can manually edit the allotted manhours for the task imported from the estimate. The allotted manhours value is deducted from the total manhours specified for the task in the estimate. See Add tasks from estimates for more details.

  • The duration, manhours, and start/end dates are auto-calculated for the parent-level tasks from their children.
  • Subtasks created by you should also be self-assigned and published to enable pushing them to the foremen.
