Access and Manage Submittals Across All Projects

The Portfolio Submittals Details screen provides a centralized, cumulative list of submittals across all your projects. It displays key data from the standard fields of each submittal, offering a clear and structured overview of project submittal registries. The report also includes direct shortcuts to individual submittals, allowing for quick access, review, and necessary actions.

  • General Contractors – Have full access to all submittals across the projects they manage, ensuring complete oversight and streamlined project coordination.
  • Subcontractors and Other Stakeholders – Can access submittals in which they are directly involved as a requestor, submitter, reviewer, or approver, across all projects they are working on.
Roles and Permissions: The Project Portfolio report is available only to users with 'View' permission for the portfolio reports enabled in their role.

To view the Submittals across all your projects 

  • Ensure that you are in the portfolio console.
  • To return to the portfolio console from any other part of the platform:
    • Click the App Launcher buttonin the top-right corner and select "Portfolio" from the dropdown.
  • Click 'Documents' on the top, then select 'Submittal Details' on the left

The 'Default View' shows all the standard columns. However, you have the flexibility to customize the table by removing unwanted columns, and re-arranging the columns in the order you want to view. Additionally, you can save your customizations as a personalized view to quickly access your preferred table layout in the future. See Customize Columns in List Views for more details. Following is the list of all possible columns:

  • Submittal No - The serial number of the submittal. Click the number to open it. 
  • Title - The subject of the submittal. Click the name to open the submittal. 
  • Project Name - The project to which the submittal pertains.
  • Spec Section - Specification from the spec book, which represents the submittal item. 
  • Revisions - The number of revisions that the submittal has gone through so far. 
  • Status - The current progress stage of the submittal. 
  • Ball in Court - The contractor company who is currently responsible for responding to the submittal in the current stage of its workflow. 
  • Custom Prefix - The prefix added to the submittal number depending on its category.
  • Custom Sequence - The sequence number assigned to the submittal based on its category.
  • Created On - The date on which the submittal entry was added to the project.
  • Created By - The project manager who requested the submittal. 
  • Due By- The deadline date of the submittal. The date is shown with a color background for the submittals that are overdue or the due date is imminent.
    • Yellow - Due within this week.
    • Red - Overdue. The due date has passed.
  • Current Step Due By - The date on or before which the ball-in-court party should provide their response and move the submittal to the next stage in its workflow.
  • Submittals Type - The form of submittal, for example, shop drawing, cut sheet, material sample, technical specifications, etc.
  • Location - The portion/area of the building where the associated task is executed. 
  • Sequence - The category of the submittal as classified as per your company practices.

Search and filter options:

Download as Excel Sheet

  • Click the 'Download'button at the top-right to save a local copy of the list in Excel format for sharing and record-keeping.

  • By default, the filename is set to the current date, but you can customize it by entering a preferred name in the text box.
  • Click 'Direct Download' to save the file on your device.
