Add Punchlist Items

You can add all defects identified during the inspection as individual punch list items (PLIs) to the event.

Roles and Permissions:
Only users with 'Create' permission for the 'Punchlist' module enabled in thier role can create punchlist items.

To add items to an event

  • Ensure you are on the 'Punchlist' module of the project. If not,
  • Open the management console of the project
  • Click the app launcher on the top-right and select 'Quality'
  • Click 'Punchlist' on the top

The 'All events' screen opens by default.

  • Click 'All Events' on the left to return to the Events screen if you are on a different screen
  • Click the name of the event to open it

  • Click 'Create Punchlist Item' on the top-right
  • Enter the preliminary details

Title - A label to identify the event.

Select Event - The field is prepopulated with the event you chose in the previous step. The field is uneditable.

Due Date - The date on or before which the item needs to be resolved, inspected, and approved.

  • Click 'Create' to save the item as a draft

The item opens to add further details and the description of the defect:

The 'Details' tab opens with the details you entered in the previous step. The assignee company and the trade are fetched from the event details.


  • Edit any of the details if required. 'Hours Spent' and 'Actual Cost' will be auto-populated, once the work is complete.

Location - The location of the constructed structure for which clarification is needed. You can specify the spot from the list of locations defined for the project. As a prerequisite, the project should have been uploaded with a hierarchical list of locations. See Add Multi-Tiered Locations to a Project for more details.  

To add the location

  • Click inside the location field

The 'Select Location' pop-up shows the hierarchically nested locations defined for the project:

  • Use the right arrows beside the parent-level items to expand them as required
  • Select the location by clicking its serial number and clicking 'Ok'

Linked Items - Add related plan drawings, schedule items, budget items, and project documents like RFI, submittals, punchlists etc., to the PLI for reference. This is optional.

  • Click '+Link Item' 
  • Choose the type of the item from the drop-down at the top

  • Select the item to link
  • Click 'Add'
  • Repeat the process to link more items as required

Notes on Plan drawings and plan markups:

You can link plan drawings with or without markups, or already existing markups to the PLI.

Plan drawings with or without markups:

  • Choose 'Plans' in the link items drop-down menu
  • The plan drawings added for the project are shown:

  • To add a plan sheet, select the plan you want to use by clicking the check box on its left and click the 'Add' button
  • To create a new markup to specify the location or illustrate the defect, click 'Add markup' on the left. See Markups for guidance on creating different types of markups on the plan drawing.
  • Enter a name for the markup and click 'Ok' to add the newly created markup.
  • Repeat the process to add more plan drawings.

  • Choose 'Plan Markups' in the link items drop-down menu
  • The list of plan markups added to various plan drawings for the project is shown
  • Select the markup and click the 'Add button'
  • Repeat the process to add more markups

Custom Fields - The 'Custom Fields' section includes any extra fields configured for the project to capture specific details about the Punlist Item. These fields may be designated as optional or mandatory, depending on the administrator's settings. An example is shown below:


The values fetched through these fields are shown along with the standard details of the PLI and included in the reports.

Add Watchers (Optional)

The 'Watchers' pane allows you to specify your team members to notify them of the PLI's progress and details. Linarc sends a notification to the persons on each activity on the PLII. If given access, they can view the details at each step from their Linarc project consoles.

To add watchers to an RFI

  • Start typing the name of the person in the text box under 'Watchers' and choose from the options 
  • Click the 'Add' button
  • Repeat the process to add more watchers

Step 2 - Describe the defect

  • Click the 'Images' tab
  • Explain the defect in the 'Description' text box under 'Issue'
  • Click on the top right to add attachments like photos, images, and/or other document files to your response:

  • Select 'Upload' and drag and drop the file to the right pane to post the files from your device storage
    • Alternatively, click 'Browse' and navigate to the required image file and open
  • Alternatively, choose an option on the left to upload an attachment image or file already added to the project
    • Feeds - Upload an image from the project image feeds
    • Company Drive, Project Drive or System Drive - To upload images or files from the project's cloud storage

Add Comments (Optional)

  • Enter any comments, notes, and remarks to share with the participants in the 'Comments' section

Your PLI is auto-saved.

  • Repeat the process to add more PLI's to the event.

You can publish the PLI to push to the contractor in two ways:
