Revise Fund Allocations to Tasks

Modified on Mon, 9 Mar at 2:48 AM

You can easily modify and redistribute funds allocated from a budget item to scheduled tasks at any time before the work actually begins in the field. If you need to make changes, you can fully revert previously allotted funds back to the original budget.

  • The system instantly adds the reverted amount back to the budget line's available balance, updating the total, associated quantities, and the breakdown across cost types like materials, labor, and equipment.

  • These restored funds can then be reassigned to the exact same task if you simply need to adjust the values.

  • The funds can also be distributed to entirely different tasks, providing the flexibility needed to adapt to evolving project requirements.

To reallocate funds

  • Ensure you are in the Budget Allocation screen of the project. If on a different screen:
    • Click the app launcherand select 'Finance'
    • Click 'Contract' on top, then select 'Allocate' from the left
  • Select the budget line item from the upper pane to view the tasks funded by it in the lower pane

  • Click 'Delink' in the row of the schedule item from which you want to fully revert the funds to the budget
Reminder: You cannot revise the allocated amount for a task once the progress has been recorded in the scheduler.
  • Repeat the process to revert funds from multiple schedule items.

You can now reallocate these restored funds to the same tasks or distribute them to new ones. The process follows the exact same steps as your initial allocation. See Allocate Funds to Work Items for guidance.

Search, filter, and sorting options

  • Hover over a column header and click the icon to sort the rows in ascending or descending order of entries in that column

View Groups and Subtotals

  • You can get totals and subtotals of numerical data for any selected set of records by grouping and applying nested grouping. Use the  icon at the top right to organize the data by column headers
  • The system automatically aggregates relevant numerical values, giving a structured breakdown and a clear view of the grand total distribution. See Group and Organize Items in a List View for more details
